Operations Manager

MainStreet Financial Planning is seeking an operations sensei to join our team as a senior-level executive, thought leader, and mentor to our growing staff.

WARNING: This is not your typical company with tiers of management and staff in place. This position has just been created, you will be breaking new ground. You will be expected to help flesh out the position and the scope of work to be performed. We’re looking for a problem-solver, a teacher, a leader, someone that has ‘been there, done that’ – someone that knows they can work anywhere, but chooses to work with us.

Responsibilities

Compliance

  • Collaborate with Compliance provider, manage placement of the proper systems and execution of the proper operational and compliance procedures to support the continued growth and success of the firm.
  • Ensure company meets minimum standards (operate in 5 states)
  • Train new team members on requirements and expectations
  • Monthly meeting with CEO
  • Random audits, with proposed corrective actions as required
  • Explore opportunities to automate and streamline

Sales

  • Assist CEO in setting goals/targets and help promote the growth of company
  • Organize and coordinate with all advisors within the practice and have a general oversight of all staff and activities within the office
  • Track monthly/annual goals and lead sales meetings
  • Act as an accountability partner to advisors
  • Provide monthly reports to management on all operational activities

Marketing

  • Design and lead marketing campaigns and strategies
  • Accountable for marketing spend and brand revenue
  • Manage marketing calendar
  • Proactively pursue new channels to lead brand growth
  • Work with planners to develop new opportunities for generating leads
  • Oversee and manage work of external/outsourced providers

Operations

  • Manages human resource development
    • Manages responsibilities include interviewing, hiring and training employees; planning, assigning and directing work, appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
    • Maintains an effective system for employee personnel files and records ensuring legal documentation.
    • Creates and/or maintains employee orientation and termination protocols.
    • Performs all prospective employee reference checks; ensures compliance with all government agencies regarding human resources
    • Develop team members by providing one-on-one feedback, conducting training, and working together on projects
    • Mentor planners, inspiring them to meet aggressive goals
  • Designs/implements/updates all operational systems including, but not limited to:
    • Employee Manual
    • Operations Manual
    • Workflows
    • Scheduling
  • Responsible for company’s finances, including, but not limited to:
    • Budgeting – making appropriate monetary allocations that maximizes outputs along with ensuring profits.
    • Payroll (includes funding retirement plan)
    • Manage accounts payable and receivable
    • Bookkeeping (invoices, client tracking, etc.)

Strategic Planning

  • Contribute to short and long term organization planning and strategy.
  • Provide review of internal procedures that may/may not be working and recommend changes, when necessary.

Other duties as assigned

Education & Experience

  • 5+ years of increasing financial and distribution management experience in Financial Services that directly aligns with the specific responsibilities for this position; including 2+ years of managerial, supervisory, and/or demonstrated leadership experience
  • Bachelor’s Degree in Business, Marketing, or related field
  • Demonstrated leadership, communication and problem solving skills.
  • Ability to monitor/manage/maintain multiple office locations and staff remotely
  • Computer literacy with current practice systems (Microsoft Office, Slack, Asana, Wealthbox, Sharefile; MailChimp)
